Compliance Reporting Assistant

Responsibilities

Collect, review, and maintain Safety Data Sheets (SDS) for all applicable materials
Collect and manage data related to Volatile Organic Compounds (VOC), Greenhouse Gases (GHG), Hazardous Air Pollutants (HAP), and other environmental and sustainability reporting requirements
Review SDSs, plant usage records, and waste shipment documentation to support the generation of monthly and annual emissions reports
Maintain accurate databases of chemical usage and emissions data
Collaborate with onsite personnel and external consultants to improve reporting accuracy, efficiency, and processes
Execute and support compliance requests related to environmental, regulatory, and customer requirements
Assist Quality, Customer Service, Purchasing, and R&D teams by providing compliance and process information as requested
Support Purchasing and Manufacturing in evaluating new suppliers for technical, quality, environmental, and regulatory compliance
Provide technical and compliance support during the introduction of products from new suppliers
Obtain, review, and manage supplier statements and compliance documentation for customer and regulatory requests, including but not limited to: Animal Origin, CPSIA, Benzo phenol / BPA, California Proposition 65, Certificates of Origin, Conflict Minerals, California Transparency in Supply Chains, Canadian Domestic Substances List, CONEG, FDA compliance, Allergens, Heavy Metals, Latex, Legal Harvesting, Letters of Guarantee, RoHS, Toxicity levels, REACH and other regulatory requests
Manage training records and related compliance documentation
Support audits and internal reviews by maintaining organized and accurate records and providing reporting as needed
Complete customer surveys related to compliance and regulatory requirements
Participate in employee committees as assigned by management
Perform other duties as required to support compliance and business needs

Required

High school diploma or equivalent required
Minimum of 3 years of administrative experience, preferably in a fast-paced manufacturing environment
Strong analytical and problem-solving skills with attention to detail
Ability to identify process improvement opportunities
Effective project coordination and time-management skills
Excellent verbal, written, and electronic communication skills
Results-oriented, ethical, and dependable with a strong work ethic
Ability to work collaboratively across departments and with external partners
Energetic, self-motivated, and able to lead by example
Strong computer proficiency, including Microsoft Word, Excel, and database systems
Highly organized with the ability to multitask, prioritize, and meet deadlines
Demonstrated discretion when handling sensitive or confidential information
Strong desire to learn and grow in a role with broad compliance responsibilities
