Horrell Company is seeking a highly organized, detail-driven Lease & Operations Coordinator to support the firm’s commercial brokerage and property operations. This role involves disciplined lease and sale administration, documentation support, and administrative coordination to ensure accurate preparation and tracking of agreements.

Responsibilities

Prepare and manage leasing and sale documents using firm-approved templates, supporting transactions from initial listing and LOI through execution and close
Coordinate the circulation, tracking, and execution of agreements among tenants, owners, brokers, and other parties
Act as the point of control for execution status, follow-ups, and final delivery of fully executed agreements
Ensure internal approvals are obtained and documentation is complete before external distribution
Maintain complete, accurate tenant files by preparing lease data sheets and ensuring all executed agreements are properly recorded
Create and manage tenant folders across physical and digital systems to ensure documents are organized, accessible, and audit-ready
Ensure executed agreements are scanned, named, filed, and distributed consistently in accordance with company standards
In coordination with accounting, maintain accuracy of lease expiration and renewal tracking to ensure brokers have reliable, up-to-date information
Maintain and reconcile expiration data against executed lease documents
Proactively provide renewal and expiration reports to support timely broker outreach and planning
Maintain accurate and complete physical and electronic lease files for managed and non-managed properties
Abstract key lease terms, dates, rent schedules, and commission information into company tracking systems
Ensure executed documents are properly scanned, named, stored, and retrievable
Maintain approved blank templates and ensure correct versions are used consistently
Maintain organized, accurate tenant and property records across physical and electronic systems
Manage file lifecycle from creation through storage and retention, including archiving and compliant purging
Assist management in maintaining complete project files to ensure historical continuity and accessibility
Support daily office operations through organized document handling, coordination of mail and packages, and responsive administrative support
Track renewals and ensure required documentation is on file before work is performed
Ensure all compliance documents are properly scanned, named, and accessible in accordance with company standards
Maintain required risk and security documentation, including annual filing of trespass waivers with the appropriate police department
