Brookfield is one of the world’s largest alternative asset managers, and they are seeking an Associate to support the strategic goals and operations of the Events team. The role involves planning and executing Brookfield-led events, managing external conferences, and ensuring successful coordination of logistics and materials.

Responsibilities

Support coordination of Brookfield hosted events
Assisting with logistics including venue & vendor research, catering, support materials, rooming lists, AV, set up and registration and on-site support as needed
Create and manage event invitations on Cvent, run registration reports as needed
Compile pre-and post-event documents (briefing memos, post-mortems)
Support regional Events and Marketing head on annual conference strategy
Manage external conferences database
Manage participation logistics and sponsorship coordination (speaker registration & prep calls, rooming lists, client dinners/receptions)
Post-event reconciliation (survey, budgets, post-event reports)
Supports the Events team to successfully execute three flagship conferences for ~500 clients / event
Identifying event material needs and placing orders with vendors - venue signage, catering orders, name badges, branded items, iPads, decor, etc
Assisting in research of additional venue locations for cocktail receptions & dinners and coordinating logistics including menus, transportation, sourcing materials, seating arraignments, etc
Reserving hotel room blocks and manage guest room lists and logistics
Assisting with onsite set up and logistics
Assisting with invitations
Compile pre- and post-event documents (briefing memos, post-mortems)

Required

A degree in Business Administration, Communications, Marketing, Events, or related field or equivalent work experience
3-5 years' professional experience
Meticulous attention to detail and a strong passion for planning events
Ability to handle a fast-paced work environment, multi-task and prioritize
Organized, proactive and self-motivated individual
Ability to keep calm and problem solve quickly under high pressure moments
Strong communication, presentation and interpersonal skills with demonstrated ability to deal effectively at all levels within the organization
Expert knowledge of Microsoft Office (Outlook, PowerPoint, Word, Excel)
Knowledge of event management software (Cvent) required
Excellent written and verbal communication skills
Ability to stay focused, efficient, and effective in managing multiple priorities
Collaborative and Team player
Overtime as needed
