Responsibilities

Maintain and update project documentation, RAID/action logs, and deliverables trackers
Support creation and maintenance of key program tools, including plans, org charts, communication trackers and stakeholder lists
Compile status updates and prepare inputs for project meetings, governance packs, and steering committee papers
Organize project team meetings, schedules, and workshops (virtual & in-person)
Prepare agendas, circulate pre-reading material, and capture accurate minutes
Track decisions, dependencies and follow-up requirements
Ensure actions are assigned, documented and closed out in a timely manner
Maintain centralized action, risk and decision logs, ensuring ownership and timelines are clear
Proactively chase updates from stakeholders and escalate outstanding items
Support KPI and milestone tracking to help project leaders monitor progress
Work closely with the Project Leader, Business Sponsor and wider workstream leads
Assist with preparation of presentations, dashboards and comms updates
Support stakeholder coordination across functions, suppliers and external partners
Provide general administrative and logistical support to enable project leaders to focus on delivery
Champion consistent use of project management methodologies, templates and governance standards
Provide advice and quality checks on documentation, planning tools, and reporting formats
Share lessons learned and drive adoption of efficient ways of working across projects

Required

Strong organizational and administrative skills, with attention to detail
Experience supporting projects, PMOs, or senior business leaders
Confident managing meetings, capturing minutes and maintaining action logs
Able to prioritize, multi-task and operate in fast-paced delivery environments
Strong written and verbal communication skills
Competent with Microsoft Office/365, Teams, SharePoint, Smartsheet or similar tools

Preferred

Exposure to structured project methodologies (e.g., PMO, Lean, Agile, Prince2)
Experience across cross-functional or multi-site program environments
Ability to interpret and present project data and KPIs
