Responsibilities

Process bi‑weekly and/or monthly payroll accurately and on time, including regular wages, bonuses, commissions, retro pay, and special payments
Work closely with the HR team to ensure all payroll‑impacting actions (new hires, terminations, job changes, leaves of absence, compensation changes, and corrections) are identified, reviewed, approved, and captured each bi‑weekly payroll cycle
Ensure compliance with all applicable federal, state, and local wage and hour laws in all states where Spirax Sarco (SSI) has employees, including overtime, pay frequency, and final pay requirements
Partner closely with Finance to validate payroll funding, general ledger allocations, accruals, and reconciliations
Prepare month‑end payroll‑related accrual entries for both Spirax Sarco (SSI) and Gestra employees, ensuring accuracy and alignment with Finance close timelines
Prepare payroll journal entries and perform monthly reconciliations of payroll‑related general ledger accounts, researching and resolving variances in partnership with Finance
Coordinate 401(k) funding and processing, including payroll deductions, timely remittance of employee and employer contributions, and reconciliation with plan administrators and Finance
Ensure accurate processing of payroll taxes, garnishments, and deductions in collaboration with payroll vendors and Finance
Support month‑end, quarter‑end, and year‑end close activities, including W‑2 preparation, payroll tax reconciliation, and audit requests
Responsibility for Monthly Headcount & Master Data Reporting out of ADP
Maintain accurate employee data in HRIS and payroll systems, ensuring alignment between HR records and financial systems in conjunction with other HR members
Assist with processing employee lifecycle transactions including new hires, job changes, leaves of absence, and terminations
Manage and maintain required system access for new hires and terminations, ensuring timely provisioning and deactivation of access necessary to support payroll processing, expense management, and other payroll‑related activities
Support onboarding and offboarding processes with a focus on payroll accuracy, compliance, and data integrity
Develop, document, and maintain standard operating procedures (SOPs) for payroll and HR operations
Ensure payroll and HR operations comply with federal, state, and local employment, wage and hour, and tax regulations
Partner with Finance on internal controls related to payroll, including audits, SOX/SOC support, and both internal & external reviews
Assist with retirement plan, workers’ compensation, and other payroll‑related audits as needed
Maintain confidentiality and data security for all employees and payroll information
Serve as the first point of contact for all payroll and pay‑related questions from colleagues, providing timely resolution or escalation as appropriate
Act as a liaison between HR, Finance, and external vendors to resolve payroll and system issues
Provide reporting and analysis to HR and Finance leadership to support workforce planning and financial accuracy
Participate in cross‑functional initiatives and continuous improvement efforts between HR and Finance

Required

Associate's or bachelor's degree in human resources, Accounting, Finance, Business Administration, or a related field, or equivalent experience
3-5 years of experience in payroll administration
Working knowledge of multi‑state payroll, payroll taxes, wage and hour laws, and employment compliance
Experience partnering with Finance or Accounting teams on payroll funding, reconciliations, or audits
Proficiency with HRIS and payroll systems (e.g., ADP)
Proficiency with Excel
Strong attention to detail, analytical skills, and ability to manage sensitive information

Preferred

Experience supporting financial or compliance audits
Advanced Excel skills (reconciliations, data validation, reporting)
Fidelity PSW Experience preferred
Experience in a matrixed or multi‑entity organization
