Responsibilities

Provide day-to-day administrative support as directed by the Director and Deputy Director
Prepare and update classroom and program files at the request of leadership and the Program Coordinator
In coordination with the Director, develop and maintain the annual work calendar and school calendar
Maintain accurate student databases and records, including certificates, attendance lists, class rosters, alphabetical lists, and name badges, ensuring timely distribution of materials to appropriate staff
Input, update, and manage data related to student, teacher, and parent assessments
Serve as the officially designated STARBASE Mail Manager, receiving and distributing mail
Prepare outgoing deliveries and process incoming shipments, verifying item accuracy and quantities and coordinating with vendors to resolve discrepancies
Maintain and order program supplies and equipment as approved by the Director
Serve as the primary Telephone Control Officer (TCO), including review and verification of monthly long-distance reports
Track program budgets using templates provided by NGB/YP and maintain asset management procedures, coordinating the return of state-owned equipment no longer required for program operations
Receive visitors and telephone inquiries, determine the nature of requests, and direct individuals to appropriate staff or offices
Communicate clearly and professionally with visiting teachers, chaperones, and program partners
Maintain effective communication with Nevada National Guard personnel and offices as needed
Represent STARBASE at military community meetings, functions, and conferences when requested and appropriate
Maintain cleanliness and organization of the reception area and surrounding workspace
In cooperation with the Director, coordinate and oversee custodial services, including selection and ongoing evaluation of services rendered
Actively support the upkeep and professional appearance of STARBASE facilities located at the Nevada National Guard Armory, ensuring a welcoming and comfortable environment
Coordinate with the Civil Engineering Service Call Desk to address maintenance and repair issues requiring immediate attention
Engage in individual and collaborative professional development activities as time and workload allow
Participate in all required security, safety, and emergency preparedness training, including fire evacuation, severe weather response, and facility lockdown procedures
Establish professional goals through annual assessments and reviews and track progress toward completion
Assist with employee training and onboarding as requested by the Director or Deputy Director

Required

Associate's degree
Strong computer skills
Proficiency in Microsoft Office applications, including Excel, Word, and PowerPoint

Ability to adapt to changing priorities while maintaining a positive, effective, and professional approach
Ability to work well as a member of a team
Demonstrate self-motivation

Preferred

Familiarity with or proficiency in Adobe Creative Suite applications (such as InDesign, Illustrator, Photoshop, and Adobe Acrobat)
Familiarity with FileMaker
