Senior Office Specialist
The City of Vista is seeking a highly motivated Senior Office Specialist to perform a variety of clerical duties in the Fire Administration department. This role involves advanced administrative work, including data entry, recordkeeping, and providing customer service.

Responsibilities
Independently composes correspondence and memos of moderate difficulty; manipulates and records data using complex databases; knows, explains, and interprets a variety of office regulations or procedures; develops reports used in the management of City operations; takes notes at meetings and may occasionally take informal minutes; depending on assignment, may provide instruction or assistance to lower level staff in a lead capacity; performs more complex alpha and numeric filing; obtains information to create or update files; answers phones, gives information and routes calls; opens, date-stamps, and distributes mail; makes complex mathematical calculations; may fill out payroll recap sheets or review time sheets for accuracy, completeness, and adherence to general payroll reporting guidelines; may provide customer service at service counter or over telephone; respond to inquiries, schedule services, assist with problem solving, etc.; maintains routine lists, logs and other detailed records; makes copies; collates, staples, and binds a variety of materials; reserves rooms; orders supplies; prepares mailings, stuffing envelopes, affixing labels, sealing envelopes, affixing postage, and placing in proper order; proofreads materials for accuracy and spelling; handles accounts payables, assisting in the monitoring of accounts and cost recovery; operates a City vehicle; and performs related work as required
Qualification
Required
Completion of High School, GED, or equivalent, including coursework or education supplemented by specialized training in the clerical occupation field
Three (3) years of general office or administrative experience, preferably performing varied clerical duties and gaining in-depth knowledge for a given department
Knowledge of office methods and procedures
Knowledge of modern office equipment operation, including computers, scanners, photocopiers and fax machines
Knowledge of department policies, procedures, and rules as it relates to the assigned work
Knowledge of computer software applications, e.g., word processing, spreadsheets or database management, as it relates to the assigned work
Knowledge of proper English usage, punctuation, grammar and spelling
Knowledge of basic arithmetic and record keeping methods
Skill in applying and explaining complex policies and procedures related to the job assignment
Skill in operating a variety of office equipment, such as photocopiers, computers and peripheral equipment
Skill in operating a keyboard at a speed necessary to perform assigned duties, usually 40 net words per minute
Skill in alphabetizing or numerically/chronologically sorting materials
Skill in communicating effectively in oral and written form
Ability to apply and exercise discretion and judgement in resolving problems
Ability to read, understand, and apply difficult materials
Ability to maintain records of budgetary expenditures
Ability to use correct English grammar, punctuation, and spelling
Ability to work cooperatively and establish effective relations with those contacted in the course of work
Ability to understand and carry out oral and written directions
