Executive Coordinator
Fuller Resources is a leading finance firm seeking a highly organized and proactive Executive Coordinator to support the Co-CEO and his Senior Executive Assistant. This role involves managing complex calendars, travel logistics, and communication while maintaining discretion and a high level of professionalism.
Responsibilities
Maintain a detailed, frequently changing calendar; schedule meetings and appointments across multiple time zones; anticipate conflicts and implement adjustments to ensure efficient use of time
Plan, book, and reconcile complex domestic and international travel logistics including air, hotel, ground transportation, and dining reservations; prepare and update itineraries; coordinate changes in real time; ensure adherence to travel and expense policies
Monitor and respond to travel-related and time-sensitive communications during weekends, evenings, and when the Senior EA is on vacation; liaise with vendors and stakeholders to preserve continuity of plans
Draft, proof, and send professional correspondence; engage with service providers and internal teams; handle confidential business and personal information with strict discretion
Collect receipts, reconcile transactions, and prepare expense reports accurately and on time
Support both professional and personal priorities as needed for the Co-CEO, including coordinating reservations, deliveries, errands, and vendor coordination
Identify potential risks, propose solutions, and make cost-conscious recommendations; proactively anticipate needs and prepare alternatives
Qualification
Required
3–5 years of experience in a Personal Assistant, Executive Assistant, or comparable high-touch support role supporting C-suite executives or high-level principals
Bachelor's degree from an accredited institution
New York City–based, with ability to work remotely and travel to office for occasional in-office coverage; ability to travel on short notice (domestic and international)
Strong command of Microsoft 365 (Outlook, Word, Excel, Teams) and familiarity with travel/itinerary tools
Outstanding organization, attention to detail, and written communication skills; demonstrated ability to prioritize and meet deadlines under time pressure
Polished professional presence coupled with a warm, service-oriented demeanor; excellent judgment and discretion
Uphold confidentiality, security, and privacy standards; exercise excellent judgment in high-trust situations
Proactive problem-solver who anticipates needs without prompting; resourceful and unflappable under pressure
Comfortable working both collaboratively and independently
