Responsibilities
Front Desk Coverage: Ensure proper coverage during business hours
Office Maintenance: Keep all areas presentable and track all activity
Guest Experience: Meet, greet, and direct incoming guests. Validate parking and assist guests as needed
Meeting Management: Manage conference room calendars via Outlook, reconfirm meetings, and set up catering as needed
Inventory Management: Maintain and refill office and kitchen supplies
Mail and Package Handling: Receive, sign, and distribute all incoming packages. Handle mail and distribution
Event Organization: Organize birthdays or special events as needed
Communication: Arrange and prepare email correspondence and other communications
Project Management: Tackle ad-hoc projects efficiently, meeting deadlines, and ensuring completion
Staff Support: Assist staff members with expense reports, travel, calls, and other needs
Invoice Management: Track and enter invoices
Qualification
Required
Ability to handle multiple tasks and requests at once
Excellent written and verbal communication skills
Strong organizational skills with the ability to manage numerous projects and priorities at once
Strong customer service skills with a focus on delivering a great total customer experience
Proficiency in Microsoft Office Suite, especially Outlook
Ability to work well in a team, collaborating with other team members on projects
