TENANT RELATIONS SPECIALIST

Anchor NW Property Group is a family-owned management company with over 30 apartment communities in the Portland Metro area. They are seeking a detail-oriented Tenant Relations Specialist to serve as the primary point of contact for residents, handling communication, issue resolution, and administrative oversight while ensuring compliance with relevant laws.

Responsibilities

Serve as the primary liaison between tenants and management, addressing complaints, concerns, and building-related matters with clarity, consistency, and professionalism
Demonstrate emotional intelligence by de-escalating tense or emotionally charged situations while remaining objective and avoiding personalization of confrontational interactions
Maintain strict confidentiality and exercise a high level of discretion when handling sensitive tenant, ownership, or company information. Information is to be shared only on a need-to-know basis, including within the organization
Apply sound judgment and make well-reasoned decisions in situations that may be ambiguous, time-sensitive, or lack complete information, escalating issues appropriately when necessary
Post monthly late fees on the 5th of each month in accordance with company policy and issue Non-Payment Notices, ensuring all associated documentation is accurate, timely, and properly filed
Respond to tenant inquiries regarding final accounting, move-out balances, and lease-related matters with professionalism, empathy, and clear communication—even when outcomes are unfavorable
Communicate building updates and required notices to tenants via email, text, or mass notification systems as needed
Process monthly utility billing accurately and within required deadlines
Review security footage when necessary to support investigations, compliance matters, or tenant concerns
Coordinate with maintenance staff to schedule inspections related to lease violations or compliance issues, ensuring follow-through and documentation
Conduct administrative audits to ensure records are accurate, complete, and compliant with company and regulatory standards
Respond to emails, phone calls, and text messages promptly, prioritizing timely resolution and consistent tenant service
Build and maintain professional working relationships with tenants, vendors, internal staff, and ownership
Maintain a proactive approach by identifying potential tenant issues early and taking appropriate action to prevent escalation
Provide backup coverage for Compliance Director during absences, including availability during both working and non-working hours when required
Support other office functions as needed to ensure operational continuity

Required

Exceptional customer service skills with the ability to manage conflict and difficult conversations professionally
Strong written and verbal communication skills, including clear, professional email and phone correspondence
High level of organization and attention to detail, with the ability to manage deadlines and multiple priorities
Strong problem-solving skills and the ability to apply sound judgment independently
Self-directed and capable of maintaining productivity in an environment with minimal supervision
Proficiency with standard office technology, including Excel, iCloud, Google Drive, and Outlook

Preferred

Minimum of three (3) years of current property management experience with familiarity in landlord-tenant operations
Working knowledge of Oregon Landlord-Tenant Law
Understanding of Fair Housing laws and compliance requirements
Experience with multifamily housing documentation, forms, and tenant-facing technology platforms
