Responsibilities
Accurately book purchase orders into the ERP system and initiate material procurement and resource scheduling
Evaluate proposals and their resulting purchase orders coming in many formats, ensuring alignment
Coordinate with internal teams (Sales, Engineering, Production, Supply Chain, Shipping/Receiving, and Quality) to ensure timely fulfillment of customer orders
Proactively communicate order status, lead times, and updates to customers to ensure satisfaction and transparency
Track orders from purchase to delivery/warranty, resolving issues related to delays, shortages, or miscommunications
Maintain detailed and accurate records of customer interactions, order details, and resolution outcomes
Build and maintain strong relationships with customers by providing consistent and professional service
Prepare order shipping documentation for a smooth handoff to the logistics specialist for domestic and international customers
Support continuous improvement initiatives related to spare parts fulfillment, customer satisfaction, and internal process efficiency
Occasionally assist with inventory verification, data entry, or reporting as needed
Ensure compliance with all company policies, quality standards, and safety procedures
Qualification
Required
Bachelor's degree or 2 years of experience in customer service or related field in a manufacturing environment in lieu of degree
Strong communication, problem-solving skills and interpersonal skills are required to coordinate the efforts and information between teams and customers
Proficiency with office computer software (i.e., Microsoft Word, Excel, etc.)
Basic estimating/procurement experience
