They are seeking a high-trust Executive Assistant to manage the owner's calendar, inbox, and logistics for various engagements, ensuring smooth operations and effective time management.

Responsibilities
Own my calendar end-to-end: scheduling, rescheduling, buffers, and “meeting hygiene”
Enforce meeting standards (agenda, purpose, decisions needed, right attendees)
Triage my inbox daily: delete/file/delegate/draft/escalate
Build concise decision packets so I can make decisions quickly (context, options, recommendation, deadline)
Prep for key meetings: agendas, pre-reads, and action item tracking
Maintain a “waiting on” / open loops tracker and drive follow-ups to completion
Act as a polite gatekeeper for interruptions and “quick questions”
Manage guest and organizer scheduling, confirmations, and reminders
Collect and organize bios, headshots, links, releases, and other assets
Create prep packets for episodes and speaking engagements (background, objectives, run-of-show, key points)
Manage travel itineraries and logistics for events
Maintain a simple tracker for coaching commitments (cadence, next session, follow-ups owed)
Qualification
Required
3+ years experience as an Executive Assistant (or similar high-trust support role)
Excellent writing skills (you can draft emails that sound professional and clear)
Strong organization and follow-through. You naturally close loops
Calm under change. You can adjust quickly without creating chaos
Good judgment and discretion with sensitive information
Comfortable being a gatekeeper and enforcing standards politely
Tech-comfortable (Google Workspace, Zoom, calendar scheduling, docs). Notion familiarity is a plus
Preferred
