Responsibilities
Support ongoing data entry and maintenance in Monday.com and HubSpot, two key databases used for tracking project assignments and lead flow
Monitor director timecard submissions and follow up on compliance issues
Review lists of closed projects to identify and flag outstanding expenses
Use templated communications to follow up with executives on expense resolution, billing, and closeout confirmation
Manage monthly client satisfaction survey coordination by reviewing lists of recently closed projects
Track responses and escalate unresolved items as needed
Send automated or templated reminders to executives 30- and 60-days in advance of contract end dates
Create lead briefings in advance of sales meetings using provided templates and source materials
Partner with internal stakeholders to populate and maintain internal knowledge resources
Ensure content is organized, complete, and accurately labeled
Qualification
Required
2+ years of experience in administrative, operations, or project coordination roles
Strong attention to detail and comfort working with lists, trackers, and repeatable processes
Ability to manage multiple deadlines and follow up persistently and professionally
Strong written communication skills; comfortable sending clear, concise templated emails to senior leaders
Proficiency with Microsoft Office
