Administrative Assistant & Event Coordinator

The Jefferson Educational Society (JES) is seeking a highly organized and detail-oriented Administrative Assistant & Event Coordinator to support front-office operations and public programming. This role is central to the smooth execution of daily administrative functions and the coordination of lectures, forums, and public events.

Public Policy Offices

Responsibilities

Serve as the front-office point of contact, welcoming patrons, members, speakers, and guests
Answer and route calls and emails related to events, memberships, and general inquiries
Perform administrative tasks including document preparation, database updates, mailings, and record maintenance
Maintain an organized, welcoming office and lobby environment
Assist with basic reports such as membership updates and ticket sales summaries
Perform additional duties as assigned by JES leadership
Support logistics for small programs and large public events, including setup, registration, signage, and speaker hospitality
Prepare event materials such as registration lists, name badges, run-of-show documents, and handouts
Process registrations and attendance tracking using CRM software (Neon)
Post events to community calendars, the JES website, and internal systems
Assist with event communications, confirmations, reminders, and post-event reporting

Required

High school diploma with 2+ years of professional office experience, or Associate's degree with 1+ year of experience
Strong organizational, time-management, and multitasking skills
Proficiency with Microsoft Office / Office 365 and Outlook
Comfort learning CRM and event-management tools
Ability to work independently and as part of a small team
Reliable, punctual, and flexible for occasional weekday evening events
Interest in civic engagement and alignment with JES's mission

Preferred

Familiarity with event logistics or hospitality support is a plus
