Youth Programs Manager
The Sandra Day O'Connor Institute is a nonpartisan nonprofit dedicated to advancing civics education and civic engagement. The Youth Programs Manager plays a central role in managing the O’Connor Institute Ambassadors Civics & Debate Club and additional youth programs, ensuring operational efficiency and effective program delivery.
Responsibilities
Increase enrollment of the O’Connor Institute Ambassadors (OIA)
Help deliver monthly online, regional meetings, improve tracking systems and programs operations
Manage student registration, rosters, attendance tracking, and alumni database
Manage online application intake for all youth programs, ensuring submissions are logged, tracked, and routed appropriately
Track new monthly Ambassador enrollment, maintain rosters and participation records (accepted students, geographic info, attendance, etc)
Coordinate session logistics, including meeting calendars, Zoom links, breakout room discussions, and facilitator assignments for OIA meetings
Prepare run-of-show documents and club meeting support materials
Support periodic guest speaker scheduling, communications, and meeting technical preparation
Maintain participation records, engagement, attendance, and demographic data for reporting purposes including program completion for senior scholarships
Respond to routine student and family inquiries related to program participation
Support club meeting facilitator logistics and ongoing coordination
Maintain organized digital records for Ambassadors program operations
Administer pre- and post-program surveys and participation questionnaires
Provide documentation of program outputs and outcomes
Assist with online community app permissions for program participants
Draft program-specific communications (meeting reminders, announcements, and logistics emails)
Prepare first drafts of Ambassadors and Camp O’Connor-related content for the Institute app, website updates, email campaigns
Upload and format approved program content in digital platforms
Serve as intake coordinator for program-related communications requests
Assist with posting and organizing student-facing program resources
Coordinate timelines and task flow between Programs and Communications teams
Collaborate on reporting for program communications performance (e.g., opens, clicks, attendance)
Maintain organized shared digital files for program and communications documentation
Assist with scheduling and administrative tasks supporting program workflows
Qualification
Required
Bachelor's degree or equivalent experience
Minimum 3-5 years of experience in program management, education support, or administrative roles
Strong organizational and project management skills
Comfort working with spreadsheets, databases, and digital platforms
Clear written and verbal communication skills
Ability to manage multiple tasks in a collaborative, fast-paced environment
Attention to detail, follow-through, and reliability
Interest in civics, education, or nonprofit work and alignment with the Institute's nonpartisan mission
