Executive Assistant to Chief Executive Officer

The Executive Assistant to the Chief Executive Officer will provide high-level administrative support to the CEO, managing their calendar, scheduling meetings, and coordinating travel arrangements.

Responsibilities

Providing high-level administrative and executive support to the CEO
Managing the CEO's business and personal calendar
Scheduling meetings and appointments
Coordinating travel arrangements
Managing correspondences
Ensuring timely attention by the CEO to all business and personal matters
Ensuring the CEO's proper prioritization of same
Maintaining an efficient and organized office environment
Handling incoming and outgoing calls for the CEO
Managing the CEO's call sheet
Representing the CEO in internal and external communications
Assisting in day-to-day operational activities as required

Qualification

Required

Minimum 3 years executive assistant experience on a high volume desk, ideally at C-Suite level
Experience and confidence with phones, scheduling, drafting, organization, and managing an executive's day-to-day workflow
Exceptional organizational skills, attention to detail, and ability to prioritize
Excellent written and verbal communication skills
Ability to maintain a high degree of confidentiality and demonstrate high professional integrity
A proactive mindset and an interest in solving problems, large and small
Proficiency in office software (e.g., MS Office Suite, Teams, Zoom, Sharepoint, Airtable, Slack etc.)
A team mindset, willing to work collaboratively within CEO's office alongside another assistant, and with the other stakeholders at Black Bear

Preferred

Bachelor's degree or equivalent experience preferred
Familiarity with the entertainment industry is a key advantage, but not a prerequisite
