The University of Nevada, Las Vegas (UNLV) is inviting applications for the position of Executive Assistant in the University Libraries. The role involves providing high-level administrative support to the dean, managing the dean's office, and coordinating communications within the Libraries and university.

Responsibilities

Provide high-level administrative support to the dean by performing excellent project management, calendaring, communication duties, and management of the Libraries administrative office
Convey a professional and welcoming environment incorporating the values of the university and Libraries
Manage the dean's office, administer the dean's schedule and coordinate communications from dean's office to the Libraries and university
Supervise staff and student employees in support of the Libraries’ administration office reception and office functions including 1 FTE classified staff and up to 4 student employees
Coordinate with all staff in the Libraries administrative office areas to ensure all office functions are properly supported
Support clerical and administrative tasks for the Libraries’ Associate Dean, Academic and Administrative Directors
Participate in senior level administrative meetings, and be active in stewardship and cultivation of donors and prospective donors
Schedule meetings and create meeting minutes in support of the Dean’s and library wide meetings
Responsible for updates to the Libraries’ staff google site and various internal documents from Libraries’ Administration
Coordinate the academic faculty evaluative processes including the annual evaluations, merit, promotion & tenure, and outside activity request approval as specified by the NSHE Handbook, UNLV bylaws and University Libraries Faculty bylaws
Liaison with the Libraries Faculty Promotion and Tenure Committee and UNLV Faculty Affairs to ensure all faculty processes are managed and processed according to policy and communicate with Provost's and President's office about forms, deadline, record-sharing, and procedures

Required

Bachelor's Degree from an accredited college or university as recognized by the United States Department of Education and/or the Council on Higher Education Accreditation (CHEA)
5 years of comparable experience in an academic environment
Competence and sensitivity in working with individuals who are highly diverse regarding many facets of identity, including but not limited to gender, ethnicity, nationality, sexual orientation, ability, income, level of educational attainment, and religion
Exceptional interpersonal, written, and verbal communication skills with the ability to communicate effectively and resolve issues and problems while providing excellent customer service
Minimum of one year of supervisory experience
Strong organizational skills with experience managing complex projects, prioritizing tasks, and working autonomously to handle multiple projects and responsibilities effectively
Critical thinking and problem-solving skills to analyze information, identify needs and formulate solutions
Familiarity with the mission and services of academic institutions
Ability to maintain a high level of attention to detail and commitment to accuracy
Ability to exercise sound judgment and to exercise complete discretion in the management of confidential information
Ability to develop and cultivate strong and collaborative relationships within the library and institution
Excellent working knowledge of computer programs such as Excel, Word, and Google Workspace
