Administrative Assistant 5

Responsibilities
Deliver primary administrative support to the Assistant Director, including managing schedules and coordinating meetings
Act as a liaison among FPS leadership, DES executives, staff, agencies, clients, and stakeholders
Communicate the Assistant Director’s goals and perspectives on administrative and policy matters
Track division projects, ensure follow-up on assignments, and elevate critical issues
Handle confidential information, conduct research and analysis, and edit reports and correspondence for professional quality
Coordinate HR-related activities with the Human Resources Division, including preparing Personnel Action Requests
Support supervisors with onboarding and administrative processes for new employees
Maintain strict confidentiality when handling personnel matters and sensitive information
Coordinate strategic tracking and communications by monitoring FPS leadership decisions and commitments, managing deadline tracking systems, and gathering information for the quarterly public works newsletter
Other duties as needed
Qualification
Required
Advanced competency in operating the most current versions of MS Office, PowerPoint, Excel and Outlook
An outstanding command of the written language, and excellent writing skills, with attention to detail in formatting and editing reports, correspondence and other documents
Ability to communicate effectively, both in writing and verbally, collaborating with stakeholders at all levels of the organization
Demonstrated success in time management and prioritization, with a proven track record of meeting deadlines and completing assignments with high accuracy
Familiarity with supervisory principals, performance management, and HR policies and procedures
An understanding of the organizational structure of the agency, and how to access support services such as Internal Facilities, IT solutions, Finance, and Human Resources
Seven (7) years of administrative or supervisory experience
Seven (7) years of combined education and/or experience. This qualifying education should be in business administration, public administration, or closely allied field. This qualifying experience should consist of administrative or supervisory experience
Two (2) years of experience as an Administrative Assistant 3
One (1) year of experience as an Administrative Assistant 4
