Executive Administrative Assistant

Responsibilities
Coordinate internal and external meetings, including agendas, materials, notes, and follow-up tasks
Serve as a point of contact for members, partners, vendors, and internal team members on behalf of executive leadership
Manage complex calendars, meeting scheduling, and prioritization for senior leadership
Help maintain focus on high-priority projects by monitoring deadlines, reminders, and deliverables
Assist with email triage, drafting communications, and ensuring timely responses
Organize documents, files, and shared drives for efficient access and version control
Support creation of presentations, reports, newsletter and documentation
Manage travel planning, logistics, reimbursements, and expense reporting
Help onboard new team members by coordinating schedules, materials, and access needs
Create events and programs within CRM
Update website to reflect changes and current offerings
Track action items and follow up with team members to ensure tasks are completed
Maintain project timelines and help identify blockers or gaps needing executive attention
Provide administrative support to special projects, research, or initiatives spearheaded by senior leadership
Update schedules, project boards, and internal communication channels as needed
Maintain a high level of confidentiality and professionalism in handling sensitive information
Improve processes by identifying inefficiencies and suggesting solutions
Qualification
Required
Exceptional organization, time management, and multitasking abilities
Strong written and verbal communication skills
Comfortable with Google Workspace, Asana, Website edits, Slack, project-tracking tools, and digital file management
Ability to work independently, anticipate needs, and handle ambiguity
High discretion, reliability, and attention to detail
Comfortable working closely with executive leadership and shifting priorities quickly
Able to maintain structure and follow through in an environment with many moving parts
Proactive problem-solver who doesn't wait to be told what to do next
Comfortable taking direction from various leadership with overlapping needs and different work styles
Preferred
5+ years of administrative or executive assistant experience preferred
