Property Management Coordinator

The Property Management Coordinator will provide operational and administrative support to the Director of Operations and Regional Managers, assisting with day-to-day operations, reporting, project coordination, and process improvement initiatives.

Responsibilities

Provide operational and administrative support to the Director of Operations and Regional Managers across the portfolio
Coordinate calendars, meeting logistics, agendas, and follow-up action items
Assist with review of communications, summaries, and operational updates
Maintain digital filing systems, document control, and standardized templates
Support internal travel logistics
Prepare and distribute recurring portfolio reports and performance updates
Track, compile, validate, and summarize monthly site reports
Support dashboard and scorecard upkeep
Support project plans, coordinating tasks, and tracking milestones
Coordinate scheduling and logistics for initiatives and inspections
Assist with documenting workflows and supporting new processes or tools
Support rollout of new systems and technology by managing progress trackers
Support due diligence for acquisitions, including data collection and document review
Organize deliverables, track action items, and maintain version control
Serve as liaison across operations, maintenance, accounting, and asset management
Assist with coordination of resident, vendor and partner communications
Support internal meetings, trainings, and events logistics
Maintain compliance with local regulations and safety standards
Comply with company policies and Fair Housing Laws
Handle sensitive information with professionalism

Required

Must be a team player who takes a 'we over me' approach to building and sustaining relationships with others
Must be determined, ambitious, and self-motivated
Excellent verbal and written communication skills; must be proficient in speaking, reading, and writing in English
Must have strong operational and reporting skills, plus excellent customer service skills
Ability to work independently, as well as part of a team
Efficient planning, prioritization, and implementation of detailed instructions
Advanced proficiency in MS Office programs
High school diploma or equivalency certificate required
Valid driver's license and insured, operable vehicle

Preferred

At least 2 years of property management, hospitality, or similar experience preferred
Bachelor's degree preferred
