Accounting Coordinator

The Accounting Coordinator will manage financial operations, including accounts payable, expense reports, and vendor contracts, ensuring accuracy and efficiency in financial processes.

Responsibilities
Process vendor payments using BILL
Request W-9s
Send out BILL account invite to parties requesting reimbursement
Monitor outstanding AP aging and follow up on payment issues or discrepancies
Support AP reporting and KPIs, such as aging analysis
Support 1099 preparation (and issue resolution: If TIN match returns error, reach out to vendors to obtain the correct tax IDs)
Process company credit card expense reports
Manage company card reimbursement requests
Download credit card statements each month
Provide support for Grubhub credit requests and reconciliations
Follow up with employees for missing receipts, expense clarifications, or approvals
Manage credit card for users, add/remove
Save all new vendor contracts and update the contract tracking spreadsheet
Assist with monthly close processes, including report preparation and reconciliations
Maintain accounting files and documentation
Support audit schedules and auditor requests
Prepare reports and provide general support to the finance team
Collaborate with the finance team on ad hoc projects and analysis
Send email communications regarding Concur expense report and BILL processes
Troubleshoot issues and answer BILL and Concur questions
Qualification
Required
Bachelor's degree in Accounting, Finance, or related field (or equivalent experience)
2+ years of experience in accounting or accounts payable, preferably in a nonprofit or education setting
Familiarity with accounting tools (e.g., BILL, Concur) and Microsoft Office (especially Excel)
Strong organizational skills and attention to detail
Clear communication skills and a helpful attitude
Preferred
Experience with 1099 preparation is a plus
