Patient Coordinator/ Tech
Optima Medical Management Group is dedicated to enhancing the quality of life by promoting wellness. The Patient Coordinator/ Tech role involves supporting patients throughout their treatment journey, coordinating appointments, managing medication-related requests, and assisting the clinical team in delivering PrTMS services.

Responsibilities
Greet and assist patients in person and over the phone with professionalism and empathy
Schedule new patient intakes, follow-up appointments, and psychiatry or therapy visits
Verify insurance eligibility and collect required documentation
Maintain accurate EHR records and patient communication logs
Serve as a liaison between patients and clinical providers
Support front desk operations and provide general administrative backup as needed
Confirm pharmacy information and verify insurance requirements
Track prior authorizations and communicate with pharmacies or insurers as needed
Assist providers with telehealth medication visits and patient follow-ups
Assist providers with setup and delivery of PrTMS treatments
Obtain qEEG brainwave assessments and manage secure data uploads
Prepare treatment rooms, complete equipment checks, and ensure patient safety and comfort
Track treatment outcomes and communicate progress to clinical leadership
Maintain compliance with internal and regulatory protocols
Performs other duties as assigned
Qualification
Required
High school diploma or equivalent; associate degree or medical office experience preferred
Strong communication and customer service skills
Ability to multitask, prioritize, and work independently
Comfortable using EHRs, scheduling platforms, and basic clinical technology
Professional, calm, and reliable under pressure
Experience in a medical or behavioral health office setting (Preferred)
Experience as an MA, CMA, mental health coordinator, or technician (Preferred)
Bilingual English/Spanish (Preferred)
Prolonged periods of sitting at an office desk on the computer
Lifting: Able to lift up to 15lbs
