Administrative Services Specialist - Human Resources
City of Hoover is seeking an Administrative Services Specialist in the Human Resources department. This role involves managing department operations, preparing reports, coordinating travel arrangements, and addressing public inquiries to ensure effective service delivery.

Responsibilities
Prepares, submits, and receives all claims and requisitions, obtains quotes for specialized supplies and equipment, and/or authorizes payments and purchases
Manages the general operations of the department, including custodial services, maintenance, repair, and security
Coordinates travel arrangements and accommodations for department personnel and submits all related paperwork
Prepares specialized analytical reports relating to a core function of a departmental operation for use in policy development and evaluation of existing programs and initiatives
Addresses concerns, inquiries, or complaints from the general public and takes appropriate action to ensure an expedient resolution or citizen satisfaction, including responding by telephone, correspondence, and/or in person as necessary
Coordinates and schedules meetings, appointments, and speaking engagements with community organizations and local business groups for departmental personnel
Screens visitors and/or callers, answers problematic questions, and/or takes messages or refers individuals to designated personnel, other City departments, or outside agencies as necessary
Oversees and works with outside vendors regarding office maintenance and equipment purchases, including copiers and custodial care and inspects all completed work to ensure quality standards are maintained
Ensures that personnel are thoroughly trained in accordance with the qualifications and requirements of their position
Provides needed information and demonstrations concerning how to perform certain work tasks to new employees in the same or similar class of positions
Keeps immediate supervisor and designated others fully and accurately informed concerning work progress, including present and potential work problems and suggestions for new or improved ways of addressing such problems
Attends meetings, conferences, workshops, and training sessions and reviews publications and audio-visual materials to become and remain current on principles, practices, and new developments in assigned work areas
Communicates and coordinates regularly with appropriate others to maximize the effectiveness and efficiency of interdepartmental operations and activities
Provides Notary services as needed
Performs other directly related duties consistent with the role and function of the classification
Qualification
Required
High School Diploma or GED equivalent AND five (5) or more years experience as an Administrative Assistant, Office Manager, Secretary or related position
OR Associate's Degree in Business, Accounting, or related field AND three (3) year or more of experience as an Administrative Assistant, Office Manager, Secretary or related position
OR Bachelor's Degree or higher in Business, Accounting, or related field
Excellent oral and written communications skills
Proficiency using Microsoft Office to include Word, Excel and Outlook
Possession of a valid driver's license and the ability to obtain/maintain a City of Hoover Driver's Permit
Preferred
Experience in Human Resources
Experience with Munis software
