Responsibilities
Build, test, and maintain automations across tools such as Zapier, n8n, HubSpot, and other connected platforms
Design system-to-system workflows across CRM, marketing, payments, webinars, and internal tools
Identify and implement automation opportunities that reduce manual effort and operational friction
Improve reliability, scalability, and performance of existing workflows
Conduct routine audits to identify broken, brittle, or inefficient automations
Own automations in production until they are fully documented, validated, and formally handed off
Design and implement bots and agents that support operational workflows and decision-making
Integrate bots into larger automation systems rather than building isolated tools
Use AI-assisted logic where appropriate to improve efficiency and consistency
Ensure bots are practical, maintainable, and aligned with business needs
Diagnose automation failures end-to-end, identify root causes, and implement durable fixes
Proactively monitor workflows to prevent silent failures or data issues
Implement basic monitoring, alerts, or logging to surface issues early
Ensure automations meet internal standards for security, privacy, and data integrity
Document all automations, bots, and integrations clearly enough that another operator can understand, maintain, and troubleshoot them
Capture key context, logic, and dependencies at a level appropriate for handoff
Collaborate with the HubSpot Systems & Enablement Lead to ensure documentation is usable, accurate, and aligned with broader system documentation standards
Update documentation as automations evolve or change
Collaborate closely with the Operations Manager on priorities, constraints, and sequencing
Partner with the Operations Analyst to validate data outputs and logic
Hand off completed automations to the HubSpot Systems & Enablement Lead for documentation, training, and ongoing support
Support testing and rollout of new workflows and agents
Qualification
Required
Minimum 2+ years of hands-on experience building and maintaining automations using tools like Zapier, n8n, or similar
Experience supporting cross-functional teams (e.g., Sales, Marketing, Client Success, or Operations) through systems, workflows, or automation
Strong understanding of multi-system workflows and integrations across CRM, marketing, payments, and internal tools
Hands-on experience with HubSpot workflows
Familiarity working in HubSpot Pro or Enterprise environments, including understanding how workflows, properties, pipelines, and permissions interact at scale
Experience building rule-based and/or AI-assisted bots or agents as part of operational workflows
Familiarity with APIs, webhooks, or JSON, and how data moves between systems
Experience integrating AI tools into automation workflows to improve efficiency and consistency
Comfort troubleshooting automation issues end-to-end across multiple platforms
Ability to clearly document technical work so non-technical teammates can understand and support systems
Preferred
Experience using HubSpot AI tools or CRM agents in a real operational context
Familiarity with ClickFunnels, Zoom Webinars, Stripe, PandaDoc, Spiffy, or Shopify
Experience supporting Sales or Client Success teams in a CRM-driven environment
Familiarity with coaching, education, or service-based business models
Experience working in a fast-growing or evolving operations environment
