Administrative Support Team Leader

Responsibilities
Provides oversight of Administrative Project Coordinators and Executive Assistants’ work and provides guidance in the resolution of problems
Drives the evolution and expansion of the Administrative Project Coordinator role, identifying opportunities for increased responsibility and adapting the position to align with the firm’s changing needs
Leads the ongoing development, delivery, and enhancement of training programs for Administrative Project Coordinators and Executive Assistants
Coordinates and delivers new hire training for both Administrative Project Coordinators and Executive Assistants
Coordinates staffing requests for Administrative Project Coordinators in New York and Domestic offices
Mentors and coaches Administrative Project Coordinators, sharing best practices and promoting effective use of technology and applications to enhance efficiency and performance
Reviews and approves time entries for Administrative Project Coordinators, ensuring accuracy and compliance with firm policies
Monitors daily report submissions to track departmental utilization, identifying trends and areas for improvement
Assists Administrative Support Management with gathering feedback from Partners, Associates, Chiefs, and other Department and Practice Area Management
Assists in the preparation of communications to New York Summer Associates, Fall Incoming Associates, and lateral attorney hires throughout the year, informing them of their administrative support resources and liaisons
Assists in the preparation of communications to Attorney Recruiting regarding administrative support for New York Summer Associates, Fall incoming associates, and lateral attorney hires
Assists with Department initiatives and special projects
Partners with Paralegal Services and Operations Group Management to maximize resource utilization and support cross-functional collaboration
Directly coordinates with various support departments to facilitate their project support requests
Assists with requests from the Pro Bono department by assigning translators from the administrative support group
Assists with coordinating notary requests both in person and virtually. Maintains and tracks notary exam dates, jurisdiction requirements, and recertification dates
Demonstrates effective interpersonal, written, and verbal communication skills to facilitate effective work relationships with others
Manages Firm resources responsibly
Performs assignments that are varied and complex in nature, often while under critical deadlines
Performs other related duties, as assigned
Qualification
Required
Demonstrates high proficiency with relevant Firm computer software programs e.g., Outlook, Excel, PowerPoint, with the ability to learn new software and operating systems
Demonstrates effective interpersonal and communication skills, both verbally and in writing
Demonstrates close attention to detail
Ability to handle multiple projects and shifting priorities
Excellent analytical, troubleshooting, organizational and planning skills
Ability to handle sensitive matters and maintain confidentiality
Ability to work well in a demanding and fast-paced environment
Ability to work well independently as well as effectively within a team
Ability to use discretion and exercise independent and sound judgment
Flexibility to adjust hours and work the hours necessary to meet operating and business needs
Bachelor's degree
Minimum of four years' related experience
