Home Care Operations Coordinator

The Judge Group is seeking a Home Care Operations Coordinator who will serve as the central point of coordination for daily office operations, scheduling, recruitment, and administrative support. Responsibilities

Develop and publish caregiver schedules aligned with client care plans, ensuring all shifts are finalized at least three days in advance
Serve as the primary contact for staffing needs, managing call‑outs, emergencies, and last‑minute shift coverage
Track attendance patterns, including tardiness, early departures, and shift refusals within company software
Participate in a rotating monthly on‑call schedule to provide after‑hours support
Manage full‑cycle recruitment: post job openings, screen applicants via ATS, conduct interviews, and complete reference and background checks
Facilitate new hire orientations and prepare employment packets, handbooks, and onboarding materials
Maintain and audit personnel files; monitor license and certification expiration dates to ensure compliance with state regulations
Manage professional phone communications and maintain organized physical and electronic filing systems
Oversee office supplies, equipment, and general administrative workflows
Accurately input and update client and caregiver information across business applications
Reconcile caregiver timesheets with scheduling software; verify pay rates, hours, and garnishments to support accurate payroll and billing
Prepare and distribute client welcome packets, care plan binders, and marketing or informational materials
Assist the Owner during in‑home assessments to help match caregiver strengths and personalities with client needs
Act as a communication bridge between families and staff, ensuring timely updates on schedule changes
Support leadership in resolving complaints, incidents, or service concerns with professionalism and empathy

Required

Minimum 2 years of administrative or office operations experience
At least 1 year of experience in staffing, scheduling, or logistics
Demonstrated experience with recruitment, job boards, and Applicant Tracking Systems (ATS)
Proficiency in Microsoft Office (Word, Excel, Teams, OneDrive) and general office technology
Strong interpersonal and customer service skills
Ability to manage high‑volume multitasking with exceptional attention to detail
Strong analytical skills for interpreting policies, procedures, and regulatory documentation

Preferred

Associate degree in Human Resources, Business, or related field preferred; equivalent experience considered
