Administrative Assistant
Havel is a provider of mechanical and electrical construction, facilities services, and energy infrastructure. They are seeking a Building Automation Coordinator who will assist Purchasing Staff, Project Managers, Service Managers, and Sales Staff with various administrative tasks related to projects.

Responsibilities
Assist all project managers and field personnel with any administrative task necessary for our projects
Material orders and data entry that goes with it
Complete returns from over ordering or faulty parts
Order advance replacement parts and send back parts for repair (Keep detailed information for all parts)
Backup support for phones and assisting visitors that enter the building
Assist with creating service tickets and purchasing parts when needed
Electronic filing through Studio 360
Update material tracking spreadsheet daily
File electronically on a weekly basis
Maintain any stocked parts and make sure they are being used on projects prior to ordering
Creating and updating all documents associated with new project booking
Qualification
Required
3+ years of experience with billing, administration, coordination, or related functions
Proficient in Microsoft Word, and Excel
Proven experience in multi-tasking and doing several tasks at once – incoming calls, scheduling, internal personnel, emails, tracking down information, etc
Working hours will be 8:00AM – 5:00PM
Regular and reliable attendance, including the ability to work extended hours and weekends as required
