Human Resources Assistant

NYU Langone Hospital—Suffolk is a 306-bed medical center providing care to residents of eastern Long Island. The Human Resources Assistant is responsible for providing support to the HR department through various administrative and clerical tasks, coordinating front desk activities, and assisting with employee engagement initiatives.

Responsibilities

Coordinate all front desk and receptionist activities, serving as the department's main point of contact for incoming calls, walk-ins, and visitors; provide routine information, direct inquiries appropriately, and ensure coverage during planned absences
Assign, manage, and respond to HR Salesforce cases; ensure timely and accurate case handling
Prepare and manage correspondence, memos, and internal communications
Retrieve and maintain employee and departmental files, including scanning and uploading documents to employee records
Process department supply orders and track inventory needs
Assist the HR Transactions Analyst with the licenses and certifications process
Stay informed on labor law updates and assist with HR compliance tracking and documentation, including maintaining required postings and preparing files for survey readiness under the direction of the HR Generalist
Support employee engagement initiatives, including event coordination and related communications
Assist with special projects and general HR tasks as needed

Required

High school diploma or equivalent
At least 1 year of office or clerical experience
Proficiency in Microsoft Office Suite
Strong analytical and organizational skills
Professional interpersonal skills and strong written and verbal communication skills
Ability to maintain confidentiality and work collaboratively with staff at all levels
Demonstrated accuracy, attention to detail, and ability to manage multiple tasks effectively

Previous administrative or Human Resources experience
