Project Coordinator
Simeral Construction Company is a construction firm seeking a Project Coordinator to provide administrative support to project managers. The role involves facilitating communication between various stakeholders and performing general office administrative tasks to ensure efficient project management.
Responsibilities
Provide administrative support for project managers including these tasks:
Filing, dictation, ordering materials, returning calls, scheduling meetings, etc
Scheduling meetings and appointments
Order materials for projects
Prepares purchase orders, invoices, and change orders
Prepares and manages project submittals
Manages files to Google Drive for field and clients
Prepare Gantt schedules
Mark up PDF plans
Scan job files to archive
Print and distribute weekly job cost
Complete close out binders for all construction projects
Send out invitation to bid, assemble RFI’s, distribute addenda
General office administrative support as follows:
Tags and prepares all invoices received via e-mail and snail mail
Answer incoming phone calls and responsible for office phone system
Updates contact information in Outlook and Sage
Assist with IT support and marketing materials
Responsible for company cell phones
Has a notary license
Handles internal and external mail, Fed Ex, etc
Orders office supplies and maintain service for copier and postage meter
Organizes safety meeting agenda, safety logs and Toolbox talks
Maintains and secures insurance certificates
Performs the following accounting tasks under Controllers oversight:
Enters all invoices into Sage
Reconciles credit card statements and vendor statements
Responsible for certified payroll
Filing AP invoices
Qualification
Required
High level of organization
High level of both written and verbal communication
High level of dependability and excellent attendance
Punctual and detailed
Willingness and ability to learn
Has critical thinking skills
Ability to focus and work efficiently
Ability to work independently in a fast-paced, multi-tasking environment with shifting priorities
Must be highly proficient with Microsoft Word, Outlook, and Excel
Proficient with Google Drive, Docu-sign, and Zoom
Tech savvy, able to learn and master new software
A minimum of seven to ten years' experience in a construction office
Preferred
Ideally familiar with Sage accounting software
Ideally proficient with Blue Beam software
Has a notary license
