Office & Administrative Specialist, Intermediate - Payer

The Minnesota Department of Employment and Economic Development is seeking an Office & Administrative Specialist, Intermediate to support Vocational Rehabilitation techs and counselors. This part-time position involves preparing and processing payments, monitoring invoices, and communicating with vendors.

Responsibilities

Preparing and processing payments in accordance with established procedures and timelines
Monitoring the invoice mailbox, forwarding the emails to the appropriate staff persons, and prompting staff to complete initiation of the invoices to be paid
Communicating with vendors as needed to receive invoices and reports for payment processing
Verifying the accuracy of information (i.e., names, dates, addresses, amount) on invoices and the corresponding authorizations

Required

Skill in customer service sufficient to provide prompt and accurate information to customers in person, on the phone, and through email and other written or electronic correspondence
Skill in typing/keyboarding, using Microsoft Word or equivalent software, sufficient to produce documents such as emails and other correspondence in an efficient and timely manner
Skill in accounting sufficient to review, analyze and verify financial records, calculate monthly fees, and prepare financial summaries and reports
Skill in customer service sufficient to answer questions and advise customers of program policies, procedures, and regulations
Skill in math sufficient to calculate, review and reconcile financial data and balance accounts
Knowledge of communications sufficient to write, prepare, and edit materials, using correct spelling, punctuation, grammar, and sentence construction

Preferred

Office administrative support experience
Experience working with the State of Minnesota and or/or the StateWide Integrated Financial Tools (SWIFT) financial system
Experience providing services to people who are Blind, Low Vision, and DeafBlind
Preferred candidates will have a variety of experiences working effectively with others from different backgrounds and cultures
