Senior Research Administrator
SoTalent is seeking a Senior Research Administrator to support senior research leadership by overseeing complex research portfolios across multiple laboratories and research centers. This role involves developing competitive sponsored research applications and managing the financial health of diverse funding sources while ensuring compliance with institutional and regulatory requirements.

Responsibilities
Serve as a senior financial and operational partner to faculty, investigators, and department leadership
Provide guidance on research strategy, funding sustainability, and resource allocation
Lead special projects within and across departments and represent the department on institutional committees and workgroups
Drive operational process improvements and best practices across research administration
Manage all administrative aspects of sponsored research proposal development (excluding scientific content)
Review sponsor eligibility and application requirements and advise investigators accordingly
Identify funding opportunities and support proposal strategy
Draft non-scientific proposal components
Coordinate submissions across departments and external partners
Manage internal reviews and sponsor submissions
Prepare Just-in-Time (JIT) materials and respond to pre-award inquiries
Oversee financial management of sponsored and institutional research portfolios
Prepare financial and narrative reports in compliance with sponsor and institutional requirements
Monitor budgets, projections, burn rates, and allowable expenses
Provide regular financial updates and projections to investigators
Track milestones, receivables, and invoicing for industry and clinical trial agreements
Initiate and approve purchase requests using purchase orders and procurement cards
Ensure funds availability, allowability, and correct allocation
Review and approve invoices for core facilities and shared services
Conduct funding analysis to support hiring decisions
Assist with job descriptions, recruitment, salary offers, and onboarding
Manage salary allocations across funding sources
Process promotions, merit increases, equity adjustments, and terminations
Support visa-related financial processes where applicable
Ensure compliance with institutional, sponsor, and regulatory requirements
Advise on material transfer agreements, data use agreements, and consulting arrangements
Support compliance related to conflict of interest, foreign influence, and effort reporting
Educate faculty and researchers on funding policies and institutional procedures
Review and manage time and effort reporting processes
Support pricing development and annual pricing reviews
Manage internal and external chargebacks
Ensure revenue aligns with expenditures
Qualification
Required
Minimum of 5 years of relevant research administration or financial management experience
Advanced budgeting, forecasting, and management of complex, multi-award portfolios
Deep understanding of federal, foundation, and industry funding regulations
Strong ability to assess complex scenarios and develop practical solutions
Advanced proficiency in spreadsheets and financial reporting tools
Exceptional prioritization and deadline management in fast-paced environments
Strong written and verbal communication and stakeholder engagement skills
Proven ability to build trusted relationships across faculty, research teams, and central offices
Ability to independently lead initiatives and influence across departments
Commitment to fostering inclusive, respectful, and equitable work environments
