Responsibilities

Process vendor invoices, ensuring they are coded correctly and match purchase orders
Review and verify invoice discrepancies and resolve issues with vendors or internal departments
Perform daily AP transactions, including recording invoices, matching, and batching of invoices
Prepare and process payments via checks, wire transfers, or ACH
Maintain accurate vendor files, ensuring timely updates of contact and payment information
Assist in month-end closing by preparing accounts payable accruals
Respond to vendor inquiries and resolve payment discrepancies
Reconcile vendor statements to ensure all invoices are received and processed timely
Assist in implementing process improvements for the AP function

Required

High School diploma or equivalent; associate degree in Accounting or Finance preferred
1-2 years of experience in accounts payable or general accounting
Familiarity with basic accounting principles and procedures
Attention to detail, with good data entry and organizational skills
Proficiency in accounting software, ERP systems (such as SAP, Oracle, or NetSuite), and Microsoft Office Suite (Excel, Word)
Strong communication and organizational skills, with attention to detail and problem-solving abilities
Ability to work independently and as part of a team in a fast-paced environment
Ability to sit or stand for extended periods of time
Manual dexterity and hand-eye coordination for typing, filing, and using office equipment
Visual acuity and ability to read small print
Hearing acuity and ability to communicate effectively with others
Ability to lift and move office supplies and equipment
Mobility and ability to move around the office as needed

Preferred

Knowledge of AIA documents, construction financial processes, and regulatory compliance (preferred for manufacturing and construction-related AP functions)
