Responsibilities

Maintain the master portfolio tracker, dependency log, RAID log, and decision/action tracker
Produce weekly and monthly executive reporting packs (status, key risks/issues, milestones, decisions required, dependencies)
Support intake reporting (new demand, stage/status, prioritization inputs, sequencing visibility)
Ensure consistent definitions, version control, and data accuracy across reporting
Maintain the value pipeline tracker (savings vs capacity, benefit owner, baseline/assumptions, forecast vs actual)
Prepare materials for value reviews: roll-ups, variance commentary, exception lists, and action follow-ups
Support evidence organization needed for value certification readiness (as defined by the SMO lead)
Maintain the AI automation/ use-case pipeline tracker (stage, owner, controls gates, telemetry/measurement requirements, expected value)
Produce simple AI scorecards/KPI summaries for leadership cadence (definitions provided by the AI lead)
Translate inputs into crisp executive narrative: 'what changed / what’s at risk / what decision is needed'
Identify trends and bottlenecks (slippage drivers, dependency hotspots, recurring risks) and surface them proactively
Weekly 1–3 page Exec-ready status summary
Monthly portfolio/value review pack (exec format)
Master trackers: portfolio, dependencies, RAID, decisions/actions, value pipeline, AI pipeline
Clean roll-ups and variance explanations aligned to agreed definitions

Qualification

Required

3–7+ years in PMO / program analyst / portfolio reporting roles in large, complex organizations
Strong proficiency in Excel and PowerPoint for executive-ready outputs
Experience managing RAID/dependencies and producing senior-leader reporting
High attention to detail, strong follow-through, and ability to work in ambiguity

Preferred

Experience with at least one enterprise work/portfolio management tool (e.g., Jira, ServiceNow, Azure DevOps, Smartsheet, MS Project, etc.)
Ability to quickly learn and operate within the client's chosen tooling and reporting conventions
Basic dashboarding experience (Excel dashboards, Power BI/Tableau, or equivalent)
