Operations Coordinator

KellyMitchell Group is seeking an Operations Coordinator to join their team in Miami, Florida. The role involves supporting the production of prepaid airtime cards, coordinating with stakeholders, maintaining production schedules, and ensuring compliance with quality standards.

Responsibilities

Support end-to-end production of prepaid airtime cards and associated collateral materials
Coordinate with internal stakeholders and external vendors to manage production schedules, milestones, and delivery timelines
Maintain and update production trackers, schedules, and supporting documentation
Verify that products are produced according to approved specifications, quality standards, and compliance requirements
Assist in identifying, escalating, and coordinating resolution of production or delivery issues
Create, track, and maintain purchase orders (POs) related to airtime card production
Review, process, and reconcile vendor invoices
Support resolution of discrepancies
Ensure accurate and timely processing of transactions within internal financial and supply chain systems
Maintain organized records and documentation to support audits, reporting, and operational reviews
Execute operational procedures precisely and consistently to prevent defects or errors
Support administrative components of POSA-related activities, including documentation, coordination, and tracking
Assist in ensuring all activities align with internal policies, controls, and quality assurance standards
Prepare routine reports, trackers, and summaries related to production status and operational performance
Communicate clearly and proactively with internal teams regarding timelines, status updates, and required actions
Provide support for ad-hoc operational and administrative initiatives as needed

Required

Associate degree or equivalent combination of education and experience required
2+ years of experience in supply chain operations, manufacturing support, card production, or operational project management
Experience in operations-focused or administrative roles involving structured, repeatable processes and transaction management
Exceptional attention to detail with strong organizational and documentation skills
Ability to follow structured, step-by-step processes with high accuracy and consistency
Strong administrative capabilities, including tracking, reconciliation, and record maintenance
Proficiency in Microsoft Excel, including data tracking, reporting, formulas, and pivot tables
Ability to manage repetitive tasks while maintaining quality and precision
Strong written and verbal communication skills
Proven ability to identify issues, gather relevant information, and escalate appropriately

Preferred

Experience with prepaid cards, POSA environments, or production operations is a plus
Familiarity with OFS and/or SAP is preferred
