NYS Department of Transportation is seeking to fill an Administrative Assistant 1 position within the R5 DOT Office of Right of Way. The role involves performing a wide range of office support and clerical duties to ensure the efficient operation of the office, including data entry, customer service, and general administrative support.

Responsibilities

Enter data into various program and service reports
Answer the group's main phone and filter calls appropriately or take messages
Track employee performance evaluations and enter them into the database
Filing and organization of Personnel files
Submit User Requests for IT access and equipment requests and replacements
Edit MS Word and Excel documents
Assist in answering other regional program area phones when needed
Download reports from DOT applications; LATS, Sesame, and ROWTrack
General administrative support: typing, notifications, work orders, on-boarding assistance
Assist with scheduling interviews and sending letters to applicants
Using Excel to generate reports for unit management as requested
Other duties as assigned
Responsibilities may include serving a role within the Incident Command System to support the Department’s response to regional and statewide emergency situations

Required

One year of permanent competitive or 55-b/55-c service as an office assistant, clerical, or keyboarding title allocated to Grade 6 or higher for Administrative Assistant Trainee 1
One year of permanent competitive or 55-b/55-c service as an office assistant, clerical, or keyboarding title allocated to Grade 6 or higher AND documentation of agency-approved completion of the four core administrative support courses or their equivalency for Administrative Assistant Trainee 2
One year of permanent competitive or 55-b/55-c service as an office assistant, clerical, or keyboarding title allocated to Grade 6 or higher AND documentation of agency-approved completion of the four core administrative support courses or their equivalency AND successful completion of four elective administrative support courses for Administrative Assistant 1
Six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration for Administrative Assistant Trainee 1
One year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration for Administrative Assistant Trainee 2
Two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration for Administrative Assistant 1
Certification (e.g., IAAP Certified Administrative Professional) or associate's degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience
Applicants must be currently authorized to work in the United States on a full-time basis
Your required educational credentials must have been awarded by an educational institution accredited by a regional, national, or specialized agency recognized as an accrediting agency by the United States (U.S.) Department of Education/Secretary of Education

Preferred

Completion of the four core administrative support courses: Microsoft Word Basics, Customer Service, Organized Office Worker, and Successful Business Writing
