Responsibilities
Maintain and clean Excel-based outreach master lists
Ensure data accuracy, consistency, and organization across outreach systems
Segment lists by audience type (K–12, higher education, law firms, work force development, geography, etc.)
Track outreach status, responses, and follow-up indicators
Support CRM setup and implementation as designed by the Outreach Lead
Prepare and migrate clean data from Excel into the CRM
Maintain CRM data hygiene, including:
De-duplication
Standardized naming conventions
Accurate tagging and segmentation
Flag missing or inconsistent data for correction
Support interns or team members with proper CRM data entry standards
Prepare outreach batches and contact lists for execution
Track outreach activity outcomes and update systems accordingly
Assist with basic reporting on outreach activity trends and response patterns
Identify operational inefficiencies and suggest process improvements
Support and guide interns assisting with outreach list development
Review intern-generated data for accuracy and completeness
Maintain documentation and basic SOPs related to outreach data processes
Qualification
Required
Experience with data management and organization, particularly in Excel
Ability to maintain data accuracy and consistency across systems
Familiarity with CRM systems and data entry standards
Strong attention to detail for tracking outreach status and responses
Ability to assist with reporting on outreach activity trends
Experience in identifying operational inefficiencies and suggesting improvements
Ability to guide and support interns in outreach list development
Strong organizational skills to maintain documentation and SOPs
