Responsibilities
Provide secretarial and administrative support for the Director or Assistant Director; assist in assuring smooth and efficient office operations; compose and type, independently or from oral instructions, note or rough draft, a variety of materials; prepare and process a variety of forms, applications and paperwork; duplicate, assemble, distribute, collect and verify accuracy and completeness
Coordinate flow of communications and information; initiate, receive, screen and route telephone calls; take, retrieve and relay messages as needed; schedule and arrange appointments, conferences, meetings and
Receive visitors, including administrators, staff, participants and the public; provide assistance or direct to appropriate staff; respond to inquiries and provide assistance concerning operations, activities, time lines, policies and procedures related to assigned functions; receive and process registrations
Compile information and prepare and maintain a variety of records, logs and reports related to grants and IEP compliance
Input and update a variety of data into e-commerce account, IFAS, ProCard, and in other assigned computer systems for banking, instructor pay, reporting and processing revenue and expenses for budgeting purposes, and billing; verify accuracy of input and output data; establish and maintain automated files and records; initiate queries, develop spreadsheets and generate a variety of computerized lists and
Receive, sort and distribute incoming mail, packages and materials as required; contact others to request documents as needed; prepare outgoing mail and materials for
Coordinate communications with instructors and community members including preparing instructor contracts, and disseminating information on schedules, dates/calendars, times and course locations
Monitor inventory levels of office and designed supplies; order, receive and maintain appropriate levels of inventory
Perform related duties as assigned by the Director to meet the particular needs of the building/unit
Qualification
Required
Any combination equivalent to: graduation from high school supplemented by college-level coursework in business, secretarial science or a related field and four years of secretarial or administrative assistant experience
Strong office, computer, and oral and written communication skills
Knowledge of the technical aspects, methods, processes, principles, practices, procedures and terminology used in the Special Education field
Ability to speak clearly and hear effectively in various environments
Adeptness in the use of hands and fingers
Ability to sit or stand for prolonged periods, as the job requires
Ability to bend at the waist, kneel, or crouch to perform specific duties
Close vision ability with the capacity to adjust focus
Freedom to sit or walk at will throughout the work environment
Capability to lift, carry, push, or pull up to fifty (25) pounds or more
Tolerance of work outside in various weather conditions
