Church Administrator

The Alabama Baptist State Board of Missions is seeking a Church Administrator to oversee various administrative and spiritual responsibilities. This role involves maintaining church records, facilitating communication, and providing support to staff and ministry leaders while fostering a warm and welcoming environment for church guests.

Responsibilities

Prioritize work given by the pastors, other staff, committee chairpersons, and others in the church to ensure timely completion of projects
Maintain worship attendance records and communicate with the Care Team to ensure communication with visitors is being maintained, recorded and pursued
Maintain membership records and prepare membership reports for monthly/year-end Baptist Association reports
Maintain church records and personnel files; to include personnel reviews, special recognition, training certifications, and requests for absences
Order and stock office supplies; to include coordinating with ministry leaders for planned supply needs or special event supply purchases
Back-up computer files and maintain office equipment software and updates as required. Calling customer service departments for any software or hardware that may require additional attention
Take on advisory and training roles in ministries that have administrative weaknesses, office assistants, or volunteer administrative support where needed
Oversee creation and distribution of church bulletins
Compile ministry updates, staff updates and financial contribution information for weekly emails and ministry newsletter
Create employee and volunteer policies and procedures and update current policies and procedures as needed; ensuring adherence to the vision and mission of STC
Coordinate employee and volunteer work and vacation schedules and input on master calendar; assisting volunteers and staff in ensuring that ample staffing is available for all day-to-day functions and special events
Develop and monitor volunteer registrations for events communicating collected data to ministry leaders, staff team, and volunteer groups
Initiate, run, and file all MinistrySafe background checks. Communicating with Youth and Nursery leaders all cleared volunteers. Administrator is also responsible for notifying volunteers when updates are needed or training is incomplete
Work closely with the church’s financial administrator/bookkeeper to ensure the church properly uses funds to meet financial obligations
Answer phones, assist guests, maintain an orderly work environment
Provide administrative support to staff team and ministry leaders as requested as we all seek to advance God’s kingdom together
Assist in scheduling meetings and events; track church equipment rentals
Coordinate calendar for facility usage and enforce church policies for facility use
Maintain an inventory of supplies and equipment
Evaluate the church's insurance needs and ensure that policies remain current
In many ways the Church Admin is the first impression of the church. We desire for the admin to be warm and loving to all they come in contact with. The context of our church ensures that you will come in contact with both millionaires and homeless, the innocent, and guilty. We desire all our guests to be treated with dignity and respect (James 2:1-13)
Team unity is a big priority. Gossip will not be tolerated with staff or others. When issues need to be addressed, we practice godly conflict resolution principles. We also cultivate unity by having periodic staff fellowships. While our goal is to have a monthly staff fellowship, we often fall short. However, when a staff fellowship is scheduled we expect every staff member to make every effort to be present with their family as often as possible
We also have weekly staff meetings; monthly finance meetings; and monthly leadership team meetings; where attendance is also required
We believe family and rest is vitally important. We prioritize family by requiring full-time staff members to take a full 24hr off-day where they are strongly encouraged to not do church related tasks. We hope this day is a time of refreshment and an opportunity to cultivate your immediate family relationships. The exact weekly day off is TBD

Minimum 3 year commitment required
Previous Administrative Experience Required
Ability to create structure from scratch or improve existing structures required
Currently a church member or willing to move membership with approval of current leadership

Our current administrator is transitioning in June, but is kind enough to make herself available for training and assisting whoever fulfills this new role
