Executive Administrative Partner

They are seeking an experienced Executive Administrative Partner to support senior leadership, maintaining operational excellence and facilitating seamless coordination both internally and with clients.

Financial Services

Responsibilities

Coordinate internal leadership meetings and external partner or client-related meetings
Manage complex and dynamic executive calendars with shifting priorities
Prepare and reconcile expense reports and vendor or purchase requests
Coordinate domestic travel arrangements and occasional offsite logistics
Support planning and execution of strategic offsites, leadership meetings, and team gatherings
Serve as a connective tissue across client service, operations, and leadership teams
Build strong working relationships across departments to ensure alignment and efficiency
Partner closely with other administrative and operations professionals as the firm scales
Communicate key organizational updates and priorities to internal stakeholders
Handle general administrative and operational support duties as needed

Required

5+ years of experience providing high-level administrative support to senior executives
5+ years of experience managing complex calendars and coordinating travel logistics
5+ years of experience with expense reporting and operational coordination
Proven ability to prioritize multiple projects in a fast-paced environment
Proficiency with Microsoft Office and Google Workspace
Exceptional organizational skills, attention to detail, and follow-through

Preferred

Bachelor's degree
Experience supporting leadership in financial services, professional services, or a fiduciary environment
Experience planning and executing strategic meetings, offsites, or leadership events
High level of discretion and comfort handling confidential information
Strong written and verbal communication skills
Ability to operate calmly and decisively amid growth and change
