Program Manager - SNA

The Immigration Legal Services Program Manager is responsible for managing grants, administrative functions, and outreach for the program, while ensuring compliance and effectiveness in delivering services to clients.

Responsibilities
Responsible for managing the administrative and outreach functions of the program, working with the Director to spearhead the direction of the program, and ensuring appropriate integration with other agency units to help clients succeed
Identify problems in operations process and in partnership with the Director resolve them in quickly and timely manner
Develop standard operating procedures for efficient program operations in partnership with the Director
Assist in the preparation of grant and contract requests and renewals with the grants department, including providing narrative content and budget preparation
Evaluate the strengths and weaknesses of the legal services including regular outcomes measurement and analysis
Build and maintain strong relationship with key stakeholders, including other agencies, law firms and community organizations, through regular meetings and communications
Supervise administrative staff, case manager, and/or non-legal interns/volunteers in their work and ensures performance goals are met
In partnership with the Director, receive and disseminate training on best practices and up-to-date developments in administration of client services to ensure compliance with grant and contract requirements
Provide technical assistance to Grants, Finance, and various other agency support units involved in development and/or operations of programming in the Immigration Legal Assistance Program
In partnership with Director, complete internal budgets and budgets for submission with grant applications
In partnership with Director, complete annual and midyear grant reports and grant applications for funding
In partnership with the Director, coordinate, facilitate, and assume overall responsibility for compliant auditing processes and reports
In partnership with the Director, evaluate current operational performance and provide strategic plan for improvements
Prepare and submit data for program reports on program goals and grant deliverables
Construct compliant documentation procedures that reflect current high standards of reporting within the program
Monitor, control and manage program operations to meet legal expectations and revenue goals, and recommend corrective actions steps as needed
Ensure compliance with agency and funder standards and procedures
Coordinate and manage project tasks to ensure project delivery within allotted budget and timelines
Provide direction and guidance to teams to achieve performance targets
Act as media liaison in collaboration with the agency’s Marketing and Communications office and manage social media and website for ILAP
In partnership with Director, calendar, set agenda and lead weekly ILAP staff meetings
Attend agency administrative meetings as requested
Coordinate logistics and staff presence for presentations and outreach events on immigration issues
Represent ILAP at community functions, and at other events as requested
Takes part in interviewing, hiring and termination process as needed
Primarily responsible for recruiting, training, and supervising interns and volunteers
Implement best practices across all sites
Assisting Director and attorneys with overflow work and other duties as assigned
Qualification
Required
Minimum 5-7 years of direct immigration law experience and/or experience working with immigrant communities in the legal field or social service field
Leadership skills – minimum 2-3 years of managing staff and programs required
Experience creating and analyzing budgets and datasets
Data analysis and reporting with software
Experience supervising and training 2 or more employees in basic administrative tasks in social service administration or equivalent
Strong administrative, organizational, interpersonal, verbal and written communication, and presentation skills required
Must have proven and strong leadership skills
Preferred
Experience working with survivors of crime, domestic violence, or human trafficking preferred
Ability to speak, understand, read and write in Spanish strongly preferred
