Administrative Assistant

Law Practice

Responsibilities

Provide comprehensive administrative support to multiple attorneys
Manage attorneys' calendars, schedule meetings, hearings, and client appointments
Prepare, format, and proofread legal documents and correspondence
Handle court filings (electronic and physical), including Tennessee e-filing systems
Maintain and organize client files (both physical and electronic)
Track important case deadlines and ensure timely completion of tasks
Perform data entry and update case management systems
Coordinate document production, copying, and filing for attorneys
Oversee day-to-day office operations, including office supplies, equipment, and vendor management
Ensure the office is always clean, organized, and fully stocked with necessary supplies
Manage incoming and outgoing mail, faxes, and deliveries
Act as the main point of contact for IT support, office maintenance, and other administrative needs
Coordinate the firm’s scheduling and meeting logistics (including video conference set-up)
Develop and maintain office procedures, systems, and filing protocols
Assist with onboarding new employees and temporary staff as needed
Oversee the firm’s records retention and compliance policies
Manage office budget and track expenses (as needed)

Required

Minimum of 2+ years of administrative experience
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office technology
Excellent organizational, communication, and multitasking skills
Ability to work independently and handle multiple priorities
Strong attention to detail and commitment to accuracy

Preferred

Bachelor degree preferred
Experience working in a law firm or legal environment preferred
Experience with legal case management software is a plus
