Program Reporting Specialist

Responsibilities

Compile, track, and organize program data related to resident services, participation, outcomes, and performance indicators
Complete the Daily Movement Reports
Collect and proofread staff DC-121 and BCC-141 reports and coordinate any necessary corrections/revisions with staff involved
Complete Extraordinary Occurrence Reports
Review urinalysis lab reports and complete corresponding BCC-141 Infractions as necessary
Track and record all DC-121s and BCC-141 and their sanctions
Weekly Status Reports: collect information and draft the WSR each week
Collect information for and complete the 120-Day List Report
Collect information for and complete the Weekly ERC report
Assist with meeting coordination, agenda preparation, minutes-taking, and follow-up tasks related to program staff meetings and resident house meetings
Track, compile, record data for, and complete monthly reports, including but not limited to Home Plan Tracking Report, Community Works Project (CWP) Report, Employment Rate Report, CCF Personnel Report, Account Transaction Summary (ATS) Report, SCAN Security Report, Statistical Report, Reentry Services Provider Report, Official Visitors Log, Juvenile Lifer/Commuted Life Report, Phamatech Urinalysis Invoice
Assist with the collection, review, and uploading of inspection/accreditation documentation
Maintain the State Program Grievance Log and Absconder Report log
Maintain organized electronic and physical filing systems, including confidential records
Assist the program director with reviewing and updating reentrant handbooks annually
Assist with the reporting of program outcomes
All other duties as assigned

Proficiency Microsoft Office
Meticulous, thorough, and detail oriented
Strong written communication skills with the ability to produce clear, well-organized reports

Ability to handle sensitive and confidential information with care and professionalism
Establish and maintain positive working relationships with co-workers
Meet the clearance requirements of contracting agency

Prioritize, work independently, and proceed with objectives with minimum supervision
This position requires a high school diploma (associate's or bachelor's degree preferred) along with 1-3 years of satisfactory performance in an administrative support position, proven experience gathering information and preparing clear, well structure reports, and experience working in a nonprofit, social services, or reentry-focused organization
