Operations Administrator

The Operations Administrator provides critical administrative and operational support to ensure restaurant locations remain compliant and efficiently run across their lifecycle.
Responsibilities
Manage and maintain all restaurant licenses and permits (health, business, food service, etc.)
Track renewals, submissions, expirations, and regulatory requirements by jurisdiction
Coordinate responses and documentation for regulatory violations and inspections
Maintain compliance records and reporting for internal and external requests
Support the submission and tracking of insurance claims (property and liability)
Serve as a liaison between restaurants, corporate, and insurance partners
Maintain claim documentation and follow-up through resolution
Serve as RSC point of contact for store-level vendors including portal management (e.g., Staples, Uniform providers, etc.)
Support vendor onboarding, ordering processes, and issue resolution
Assist with Accounts Payable for store-related invoices and expenses
Support utilities and waste management related issues with third party vendor
Maintain accurate restaurant hierarchy and organizational data across internal systems
Support changes related to openings, closures, leadership transitions, and reporting structures
Partner with HR, IT, Accounting, and Finance to ensure data integrity
Manage support center email inbox and ticketing system
Provide administrative support for acquisitions, new restaurant openings, and remodel projects
Assist with documentation, checklists, vendor coordination, and timeline tracking
Support close/open processes to ensure smooth operational transitions
Qualification
Required
Proficient in operating Microsoft Office applications, including Word, Excel, Outlook, SharePoint and PowerPoint
Strong attention to detail and excellent organizational skills
Ability to prioritize tasks and manage time effectively in a fast-paced environment
Ability to maintain confidentiality and handle sensitive information with discretion
Strong interpersonal skills and ability to work collaboratively in a team environment
Exceptional problem-solving and decision-making abilities
Ability to work independently and work well as part of a team
Self-starter, able to independently solve problems; resourceful
Excellent written and verbal communication skills in English with the ability to communicate clearly and professionally
Computer savvy. Able to quickly learn new software programs
Travel Requirements – Ability to travel for work-related duties
Physical Requirements – Ability to communicate clearly via phone including hearing and talking
Ability to perform sedentary work such as computer-based work
Ability to utilize close visual acuity such as for creating and analyzing data/spreadsheets, word documents, graphics design, and reports
Ability to utilize fine motor skills with the fingers, such as typing and tying knots
Ability to lift up to 25 lbs
Ability to work in an office environment
Preferred
Associate or bachelor's degree in business administration or related field is a plus
3-5 years of experience as an Administrator or similar role (multi-unit, retail, or restaurant environment preferred)
