Program Manager & Sales Coordinator

Responsibilities
Own post-sale execution once commercial terms are approved
Commit, measure and improve cycle-time across all stages New Product Development
Build and manage Gantt charts from contract through shelf across:
Private label programs
Contract manufacturing programs
Barrel pick programs
Lead internal execution check-ins and ensure deadlines, approvals, and deliverables are met
Manage scope changes and change orders as needed
Serve as the secondary post-sale point of contact for customers across program types
Provide proactive updates on timelines, approvals, and risks
Schedule, book and coordinate partner events including spirit selection, launches and customer engagement functions
Support repeat business through a reliable, professional execution experience
Manage label execution workflow from an operational and regulatory standpoint:
Coordinate label creative exploration, intake, design, revisions, and final proof approvals
Communicate regulatory requirements to customers and design agencies
Coordinate TTB COLA submissions and approvals
Coordinate compliance workflows including:
Formula approvals (when required)
COLAs
State registrations
Coordinate barrel pick scheduling and execution support including:
Customer communication and scheduling
Documentation of selections and program terms
Timeline alignment with production and distribution needs
Partner with the Director of Production to:
Confirm production feasibility and scheduling windows
Align label readiness and other dependencies
Adjust timelines when constraints arise
Ensure internal and customer-facing expectations stay aligned
Coordinate distributor setup and readiness including:
SKU activation and item setup
First order placement support
Troubleshoot fulfillment issues and support successful launch execution
Analyze sales and depletion data to identify:
High-velocity SKUs and markets
Underperforming distributors/accounts
Trends across private label, contract manufacturing, and barrel programs
Build and maintain:
Weekly/monthly dashboards
Distributor performance scorecards
Forecast vs. actual reporting
Provide actionable insights to support Sales prioritization and execution
Tune templated customer agreements for new opportunities including:
Private label contracts
Contract manufacturing agreements
Barrel pick agreements
Statements of work, volume commitments, and delivery terms
Coordinate contract review and execution with internal stakeholders (Sales, Legal, Finance)
Ensure contracts align with compliance requirements and operational feasibility
Qualification
Required
Excellent organizational skills and ability to manage multiple concurrent programs
Clear communication skills and confidence working with customers and internal leaders
4–7 years experience in program management, sales operations, or commercial execution
Strong analytical skills and comfort working with sales/distributor data
Experience drafting and managing commercial contracts and customer documentation
Preferred
Experience in spirits, beverage alcohol, or regulated CPG
Working knowledge of alcohol compliance workflows (TTB/COLA)
Familiarity with private label, contract manufacturing, or barrel programs
Experience working with distributor depletion data and scorecards
Familiarity with ERP, BI tools, and project management platforms
