Administrative Program Coordinator

Tulane University is seeking an Administrative Program Coordinator to serve as the first point of contact for international students and scholars. This role involves managing inquiries, providing immigration advice, tracking budgets, supervising student workers, and assisting with administrative policies and procedures.

Responsibilities

Serve as OISS’ first point of contact and primary information resource representative for email, phone and walk-in inquiries
Check messages on office voicemail and triage student and scholar inquiries before elevating them to advisors
Provide information, applications, letters, etc. to international students and scholars upon request
Track OISS budget and expenditures and make office supply and other necessary purchases
Offer basic immigration advice to students and help process immigration documents, such as initial I-20s, travel signatures, or reprints
Support international population in meeting tax and insurance responsibilities
Supervise student workers and manage student worker schedules
Manage building-, facility-, and safety-related requests
Assist in the formulation, establishment, and execution of administrative policies and procedures

Required

Excellent telephone and public skills
Excellent oral and written communication skills
Demonstrated sensitivity to cultural differences
Strong computer skills (Microsoft Office Suite, database management)
Excellent organizational skills, attention to detail, and ability to work without close supervision
Eligibility to be a Designated School Official (DSO) and Alternate Responsible Officer (ARO) per federal immigration regulations and to be able to sign immigration documents on behalf of Tulane. (Must be a citizen or Legal Permanent Resident)
High School Diploma or equivalent
2 years office experience

Preferred

Bachelor's Degree or higher
Experience working in a multicultural environment
Experience working in international education at the college or university level
Office management or administrative level assistant experience is desirable
Familiarity with F-1, J-1, H-1B immigration regulations, and SEVIS
Familiarity with and/or Sunapsis or other student record systems
Bilingual in at least one language other than English
