Administrative Assistant / Executive Assistant (contract)

Sanofi is seeking an Administrative Assistant / Executive Assistant to support the Genomic Medicine Unit – Chemistry, Manufacturing & Control (CMC) for a 12-month onsite contract. This role provides high-level organizational, operational, and administrative support to senior leadership within a fast-paced, highly regulated pharmaceutical environment.

Responsibilities

Provide full administrative support to the Global Head of GMU CMC, including proactive calendar management, scheduling internal and external meetings, resolving conflicts, managing communications, coordinating travel, and preparing expense reports
Provide full administrative support to the Global Head of Synthetics CMC Development with similar calendar, travel, communication, and expense responsibilities
Plan, manage, and facilitate on-site and off-site meetings with internal and external stakeholders
Manage all administrative aspects for invited seminar speakers, including scheduling, coordinating with Business Process Coordinators (BPCs), submitting documentation for contracts and payments, and arranging travel, meeting rooms, and catering as needed
Assist with management of GMU CMC SharePoint and Teams sites, ensuring organized, accessible information for global stakeholders
Manage distribution lists for GMU CMC and various meetings
Coordinate travel arrangements and act as liaison with the travel department for additional team members
Partner with BPCs and business partners to support requests from CMC Functional Heads and Lab Heads
Prepare and review expense reports to ensure compliance and proper documentation prior to approval
Manage GMU CMC meetings and related logistics
Support recruitment and departure activities, including interview scheduling, onboarding, and offboarding
Handle ad hoc initiatives supporting the GMU CMC group
Maintain strict confidentiality and compliance with Sanofi policies and procedures
Ensure smooth day-to-day operations, respond professionally to emails, Teams messages, and phone calls
Collaborate respectfully with other administrative professionals and share best practices

Required

Bachelor's degree required
Minimum 5 years of experience in an Executive Assistant or similar senior administrative role
Experience supporting 1 primary executive and 2–3 additional leaders
Proven experience with: Complex calendar management, Scheduling conferences and meetings, Booking travel, Processing invoices and expense reports
Strong proficiency with Microsoft Office Suite, SharePoint, and Microsoft Teams
Experience working with business and communication tools in a corporate environment
Ability to manage multiple priorities independently in a fast-paced, dynamic organization
Strong verbal and written communication skills
High level of discretion and professionalism when handling sensitive information

Preferred

Experience with Concur and eBuy (strong plus)
Experience with EasyInvoice and Workday
Prior experience in a pharmaceutical, biotech, or regulated environment
Positive, proactive attitude
8–10+ years of experience supporting senior leadership or C-suite executives
