Administrative Assistant II- Christiana - 4E
ChristianaCare is a leading health system committed to delivering health, not just health care. They are seeking a full time Administrative Assistant II responsible for maintaining routine administrative functions at nursing units and providing coverage for other office assistants when needed.

Responsibilities
Types departmental policies and procedures, reports, inter- and intra-departmental memorandums, capital budget worksheets, and meeting agendas and minutes
Maintains personnel and departmental files in an organized fashion
Produces flow charts, slides, and other graphic material
Produces departmental data forms, i.e., sign-in sheets, assignment sheets, statistical work sheets and spreadsheets
Utilized Windows-based office programs including work processing, spreadsheet, and data base products
Maintains departmental payroll records
Maintains departmental caregiver files
Maintains departmental attendance records
Provides administrative support for setting up conferences including room reservation, food, and all corresponding conference communications
Completes travel and attendance arrangements for staff to attend conferences
Maintains departmental Inservice records and provides data to Nursing Education system
Arrange meetings for nurse managers
Answers telephones, screening and routing calls as necessary
Maintains office supplies within budget
Maintains departmental communication devices
Maintains inventory of unit equipment and devices
Maintains confidentiality of patient/member and staff information, compliant with HIPAA regulations
Demonstrates proficient written and verbal communication skills
Demonstrates a sound knowledge base of appropriate departmental and hospital guidelines/policies
Attend staff meetings and mandatory Inservice
Performs assigned work safely, adhering to established departmental safety rules and practices; reports to supervisor, in a timely manner, any unsafe activities, conditions, hazards, or safety violations that may cause injury to oneself, other employees, patients and visitors
Perform other related duties as needed
Qualification
Required
High school diploma or equivalent
Four years progressively responsible administrative support to an administrator or manager
An equivalent combination of education and experience may be substituted but must include at least two years of appropriate experience
Knowledge of office equipment and machines
Knowledge of medical terminology
Knowledge of policies and procedures regarding security and release of medical information
Ability to learn Managed Care authorization and referral procedures
Ability to learn all scheduling systems
Ability to act professionally at all times
Ability to maintain confidential information and materials
Ability to organize and prioritize work
Ability to act independently within guidelines
Ability to interact effectively and maintain constructive working relationships
Ability to learn departmental and organizational policies, procedures and operations
Ability to display excellent customer service skills
Good verbal and communication skills
Good interpersonal skills
Strong Computer skills (Word/Excel)
