Executive Assistant to the President (Part-Time)

New Brunswick Theological Seminary is an intercultural and ecumenical school of Christian faith, learning, and scholarship. They are seeking a highly organized Executive Assistant to provide high-level administrative and operational support to the Seminary President, ensuring effective functioning of the President’s Office and managing competing priorities with excellence.

Responsibilities

Provide comprehensive administrative support to the President, including managing correspondence, electronic filing systems, phone communications, and message routing
Serve as a welcoming and knowledgeable point of contact for students, faculty, staff, alumni, trustees, and external partners, promoting a positive image of the Seminary
Exercise the highest level of discretion and confidentiality in handling sensitive institutional and personnel matters
Act as administrative liaison to the Board of Trustees, supporting effective communication and coordination with the President’s Office
Plan and manage Board of Trustees meetings, including scheduling, preparing Board materials and workbooks, overseeing logistics, and maintaining accurate records of minutes and motions
Administer and maintain the Board’s SharePoint site, ensuring materials are current, accessible, and well organized
Support executive-level initiatives and special projects as delegated by the President, ensuring timely follow-through
In collaboration with faculty and staff, coordinates major Seminary-wide events, including (but not limited to) New Student Orientation, Endowed Lecture Series, Convocation, Commencement, and special institutional gatherings
Assist with budgets under the President’s Office, including tracking expenses, processing reimbursements, and submitting check requests
Manage the President’s calendar and travel arrangements, including scheduling meetings and coordinating travel logistics
Prepare professional written and visual materials such as correspondence, presentations, and institutional communications
Create, maintain, and update procedural documentation related to the position
Perform other duties as assigned in support of the Seminary’s mission

Required

Demonstrated experience supporting senior leadership in a higher-education or executive administrative environment
Exceptional organizational, prioritization, and time-management skills
Strong written and verbal communication skills with diverse internal and external stakeholders
Proven ability to maintain strict confidentiality and exercise sound professional judgment
Advanced proficiency with office technologies, collaboration platforms, and virtual meeting tools
Strong interpersonal skills and professional presence when representing executive leadership
Commitment to working in a diverse, multicultural, and mission-driven educational community
Demonstrated understanding of and commitment to anti-racist principles and practices
High school diploma required
Minimum of five (5) years of progressively responsible executive administrative experience supporting senior leadership

Preferred

Bachelor's degree preferred
Experience in higher education and/or faith-based institutions preferred
