Responsibilities

Performs administrative activities to support the operations of the Tourism and Events and the Community Services Departments; duties include using Microsoft Office Suite products
Submits and manages requisitions for items purchased for departments; maintains files and backup documentation for purchases
Reviews contract drafts for errors and clarity; manages executed contracts, including submitting requisition for payment to vendors and compiling and organizing related backup documentation
Serves as the primary point of contact for County-owned building spaces for events and meetings for both internal and external users; manages booking facilities for users and facilitating room set-up needs
Serves as the point of contact for departments when managers are not available; provides customer service and filters inquiries from the public, visitors, and vendors via email and phone calls
Conducts timekeeping activities for departments associated with timesheets and expense reports
Performs all duties in a safe and efficient manner
Performs all other duties as assigned by supervision
Extensively proofreads contracts, promotional emails, standard letter communications with stakeholders, and new website content as requested
Assists with contract process: obtaining signatures, communicating with various stakeholders, and processing fully executed contracts from requisition through payment
Reviews and provides feedback for tourism website edits
Provides information and assistance to various agencies regarding event planning and attraction efforts
Performs research and analysis of new trends
Support special projects as requested by the Director of Tourism and Events
Communicates clearly and timely with Facilities and other departments regarding event/meeting space requests
Assists department with maintaining a database of event spaces, athletic venue assets, meeting assets, hotels, and all other related facilities within the county, including municipal facilities
Assists department with maintaining a database of all county and municipal assets that can assist with event promotion, management, and execution
Helps secure and/or coordinates space reservations and material deliveries, staffing, event setup, and cleanup
Assist in theme, demo, and exhibit space layout for events
Helps organize required catering services, room setup, and communication equipment setup for events
Assists the Executive Director of LSC with the planning and coordination of the Opening Retreat, class days, and Graduation for both the adult and youth programs
Assists the Alumni Council with event planning and execution
Organizes and schedules various catering needs for LSC events and class days
Organizes and schedules various transportation needs for LSC events and class days
Performs various office functions that include coordinating large mailings, preparing Leadership Shelby Board packets and documents, and scanning and organizing files
Extensively proofreads contracts, emails, and standard letter communications with stakeholders
Provides administrative support for internal and external grants managed through Community Services, including contract management duties and payment processes
Provides information related to county resources and assistance opportunities to various agencies
Supports special projects as requested by the Manager of Community Services

Required

High school diploma or equivalent
2 or more years' experience providing clerical and/or administrative support
Proven multi-tasking and prioritization skills to effectively manage simultaneous assignments from multiple departments
Direct experience with spreadsheet programs (preferably Excel) and Microsoft Office
Ability to work independently while maintaining effective working relationships with coworkers, supervisors, vendors, partners, and the general public
Strong organizational, communication, and interpersonal skills
Experience in event coordination and planning
Valid Driver's license and acceptable driving record

Preferred

Associates or Bachelor's degree from an accredited college
Experience with web page organization and updating
Experience with using project management software (i.e., Monday.com, Asana)
Experience with branding and creative design software (i.e., Canva or Adobe)
Social media skills in Facebook, Instagram, Twitter, and other currently used platforms
Experience with QuickBooks or other budget management software
Photography skills and video editing
