Business Development Coordinator
CetraRuddy is seeking a Business Development Coordinator to lead proposal development and support pursuit strategies and business development for their New York office. This role involves guiding the pursuit process and collaborating with firm leadership to create compelling marketing collateral that aligns with the firm's brand.

Responsibilities
Partner with business leadership to develop creative, client-focused proposal and pitch strategies
Lead and participate in all stages of the pursuit process—from identifying/qualifying potential clients and projects, managing and driving client relations through RFP/proposal strategy
Lead RFP response planning for project proposals, create timelines, understand/capture the scope of work and manage pursuit meetings to support the process
Plan and prioritize tasks, ensuring all deadlines are met with participants
Review RFPs to identify & communicate critical requirements, submission formats, deadlines and any specific requirements outlined in the RFP
Conduct research to support strategy and pre-positioning
Plan and prioritize tasks, ensuring all deadlines are met, submission and interview preparation—while managing competing deadlines and allocating resources effectively
Oversee and contribute to the development, layout, and production of proposals, qualifications packages, presentations, brochures, award submissions, and other collateral; ensuring consistency and quality control
Manage marketing deadlines, coordinate workload distribution and team resourcing to ensure timely, high-quality deliverables
Maintain pursuit records, pipeline reports, and CRM data (including go/no-go decisions, prospect tracking, and opportunity updates) in coordination with Principals and business development leaders
Support organization and maintain master marketing materials, templates, and resources on shared platforms
Support firmwide brand consistency across all marketing collateral and external communications, including digital platforms, presentations, and advertising
Qualification
Required
5 years of professional marketing experience; 3 years in the AEC industry
Proven experience managing teams, with strong leadership and supervisory skills
Excellent project management abilities: able to anticipate challenges, make strategic decisions, and deliver results under tight deadlines
Ability to manage multiple pursuits simultaneously while collaborating across disciplines
Strong interpersonal skills and executive communication abilities; adept at managing expectations with leadership and stakeholders
Highly organized with meticulous attention to detail
Exceptional written, visual, and verbal communication skills
Advanced proficiency in Adobe Creative Suite (especially InDesign) and Microsoft Office
Experience using CRM platforms and reporting tools
